Cancellation & Refund Policy

1. Overview
We understand that plans can change. This policy explains how cancellations, transfers, and refunds are handled for training courses and services provided by Cotton Nursing Solutions Ltd.
2. Training Course Cancellations by You
More than 14 days before the course
- Full refund, or transfer to another date at no extra charge.
7–14 days before the course
- 50% refund, or transfer to another date at no extra charge.
Less than 7 days before the course
- No refund. However, we will do our best to offer a transfer to a future date where possible.
Non-attendance
- No refund or transfer is available for non-attendance without prior notice.
3. Transfers & Substitutions
- You may transfer your booking to another date (subject to availability) by contacting us as early as possible.
- You may send a substitute delegate in your place at no extra charge, provided you notify us in advance.
- Transfers are limited to one per booking. A second transfer will be treated as a cancellation.
4. Cancellations by Us
In the unlikely event that we need to cancel a course (e.g., due to insufficient numbers, illness, or unforeseen circumstances), we will:
- Notify you as soon as possible
- Offer a full refund or a transfer to the next available date
- We are not liable for any travel, accommodation, or other costs incurred as a result of a cancellation by us
5. Occupational Health Services
Cancellations for occupational health appointments should be made at least 48 hours in advance. Late cancellations or non-attendance may be charged in full.
6. Group Bookings
For group bookings, cancellation terms will be agreed at the time of booking and confirmed in writing. Please contact us to discuss your specific requirements.

Cancellations must be made in writing (email is fine). The date of your written notice will determine which cancellation terms apply.
8. Refund Processing
Refunds will be processed within 14 working days of the cancellation being confirmed, using the same payment method as the original transaction.
9. Exceptional Circumstances
We understand that sometimes things happen beyond your control. If you need to cancel due to exceptional circumstances (e.g., bereavement, serious illness), please get in touch and we will do our best to find a fair solution.
